I coordinate emergency parts and service for a regional XCMG dealer. This checklist is what I actually use when a call comes in at 4 PM on Friday.
Who this is for: Small contractors, owner-operators, fleet managers with 1–5 XCMG machines. You don't have a dedicated maintenance team. When something breaks, you lose money fast.

I made this mistake in my first year — thought "standard excavator bucket" meant the same for all models. Cost me a $400 return and two lost days. Here's what you actually need:
Pro tip: take photos of the damaged part, the model plate, and the surrounding area. Email them to your parts guy (unfortunately, I can't read minds).
You have two options: OEM XCMG or aftermarket. For emergencies, I strongly recommend OEM — the risk of a cheap part failing again mid-job is not worth the $50 you save. (To be fair, aftermarket works fine for non-critical items like floor mats. But for pumps, valves, cylinders? Stick with genuine.)

Sometimes the breakdown is concrete-related — literally. If you're patching a cracked foundation or pouring small anchor blocks for an equipment pad, renting a cement mixer can save you from waiting on a ready-mix truck. An emergency may require digging next to the damaged machine — trenching for a new hydraulic line, clearing debris, etc. Mini excavators are perfect for tight spaces, but they handle differently from big ones.

Don't put the machine back to work immediately after swapping a part. Pressure test the hydraulic system, check for leaks, run the engine for 10 minutes at idle. Then do a work cycle. If something feels off, stop and recheck.
One thing I always tell clients: document every emergency repair — what part was replaced, the date, the symptoms. This helps diagnose future issues and gives you leverage if a part fails prematurely. (I really should keep a log myself, but at least I'm telling you.)
